RAINFORD FLEET SOLUTIONS

Legal Information

Our company details, legal notices and key information about how we work with you.

Cookies & Website Technologies

Understanding how our website works

Rainford Fleet Solutions Ltd uses Framer to deliver our website and its built-in analytics to understand website usage. Our explainer videos are delivered as video files hosted through Framer.

This notice explains these technologies and the choices available to you. Information about how we handle personal information supplied through enquiries and applications is provided separately in our Privacy Notice.

What are cookies and similar technologies?

Cookies are small files placed on your device by websites. Other technologies, including local storage, tracking pixels and certain scripts, can also store information on your device or access information from it.

These technologies can have different purposes, such as operating a website, remembering preferences, measuring usage or supporting advertising.

Whether consent is required depends on what a technology does and why it is used—not simply what it is called.

Framer website hosting and content

Our website uses Framer’s website-delivery infrastructure. Website resources, including scripts and video files, are delivered through domains such as framerusercontent.com.

Your browser may temporarily cache website resources to help pages load efficiently. Browser caching is different from an advertising cookie. Its duration depends on the resource settings and your browser.

Framer Analytics

We use Framer’s built-in analytics to understand website usage and identify opportunities to improve the site.

Framer states that this analytics service does not use cookies or generate persistent identifiers. It measures information such as page visits and broad information about how visitors access the website.

The analytics script is delivered through events.framer.com.

There is no analytics-cookie expiry period to list for this service because Framer states that it does not set analytics cookies. This does not mean that all reporting information is deleted when you leave the website.

Video content

Our explainer videos are provided as direct video files hosted through Framer, rather than through YouTube or Vimeo players.

Loading or playing a video involves requesting the file from the hosting service. Your browser may buffer or cache parts of the video to support playback.

Privacy Notice

How we handle your personal information

Rainford Fleet Solutions Ltd respects your privacy. This notice explains how we collect, use, share and protect personal information when you visit our website, contact us or use our vehicle sourcing, funding and fleet-support services. It applies to website visitors, enquirers, customers, business representatives, directors, drivers and other individuals whose information we handle.

1. Who we are

Rainford Fleet Solutions Ltd is the controller responsible for the personal information we use for our own business purposes described in this notice. Company registration number: 17311036. Registered office: 100 Liverpool Road, Cadishead, Manchester, Greater Manchester, M44 5AN. Registered in England and Wales.

For privacy enquiries or to exercise your rights, contact Adam Rainford at adam@rainfordfleet.co.uk or 07912 368995. You can also write to our registered office, marking correspondence “Privacy enquiry”. Finance providers, leasing companies and other organisations involved in your arrangement may act as separate controllers under their own privacy notices.

2. Information we collect

For enquiries and business contacts, this may include your name, job title and business contact details; business name, registration details and address; fleet size, vehicle requirements, budget and funding preferences; contact preferences; and information in emails, forms, telephone discussions and other correspondence.

For applications, orders and ongoing support, information may include applicant, director, authorised signatory or guarantor details; identity, address and financial information; vehicle, quotation, order and agreement references; driver contact details; delivery arrangements; servicing, replacement or support information; and payment, invoice, commission and transaction records. A provider may collect some application information directly rather than through us.

We also collect information provided for complaints, assistance and data-protection requests, together with our investigation records. Our website uses Framer hosting and its built-in analytics; please see our Cookie Notice. Avoid including unnecessary sensitive information in general enquiry forms.

3. Where information comes from

We collect information directly from you when you complete a form, contact us or use our services. Where relevant, we may also receive it from your employer or authorised representative; a person you have authorised; a funder, leasing company, dealer or supplier; delivery or support providers; Companies House; and social media. If you provide another person’s information, please ensure you are entitled to share it and make this notice available to them.

4. Why we use information and our lawful bases

We use personal information only where we have an appropriate lawful basis: legitimate interests for responding to business enquiries, preparing proposals, arranging and supporting business vehicle or funding services, managing complaints, protecting systems and reviewing website usage; contract where processing is necessary for an individual’s contract; legal obligation for accounts and applicable records; and consent where required for optional marketing. Our legitimate interests include providing an effective service, maintaining relationships, protecting operations and resolving disputes.

5. Eligibility reviews and credit searches

Submitting our website eligibility form starts an initial review of your business and fleet requirements. No credit search is triggered by submitting that form. It is not a finance application and does not guarantee approval. If you proceed with a funding application, additional information and checks may be required; we will explain the provider’s process and make its privacy information available.

6. Who we share information with

We share relevant information where necessary with lenders and leasing companies; dealers and suppliers; delivery, maintenance and support providers; Framer, Microsoft Outlook, IT, document-storage and customer-management provider Pipedrive; professional advisers; and regulators, authorities or dispute-resolution bodies where lawful. We do not automatically send every enquiry to every lender on our panel. Service providers processing on our behalf must act under appropriate contractual arrangements; other recipients may be independent controllers.

7. Marketing and your choices

Service communications are different from promotional marketing. Where consent is required, we request it separately; you do not need to agree to optional marketing to make an enquiry. You can object to direct marketing at any time using an unsubscribe option or by contacting us. We may retain a minimal record of your preference.

8. International transfers

Some service providers may store information outside the UK or allow access from another country. Do not assume information stays in the UK simply because our business and customers are based here.

9. How long we keep information

We retain personal information only for as long as needed for the purpose collected, including applicable legal obligations and handling complaints or claims. Records may be retained longer for an ongoing dispute, investigation or legal requirement. When no longer needed, we securely delete or anonymise information where appropriate.

10. Security

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure. Access is limited to people and providers who need it for their work. No transmission or storage method is completely secure. Please contact us promptly if you believe information relating to your dealings with us has been compromised.

11. Automated decisions

A funder may use automated checks or credit-scoring processes when considering an application. The relevant funder’s privacy information should explain its decision-making and the rights available.

12. Your data-protection rights

Depending on the circumstances, you may request access, correction, deletion, restriction, portability, object to legitimate-interest processing, or withdraw consent. The right to object to direct marketing is absolute. Rights are subject to applicable conditions and exceptions. Contact us to make a request; we may need information to verify identity or authority. We normally respond within one month, subject to applicable rules.

13. Privacy complaints

If you are concerned about our handling of personal information, contact Adam Rainford. We will acknowledge a data-protection complaint within 30 days, investigate without undue delay, keep you informed and explain the outcome. You may also complain to the Information Commissioner’s Office without first completing our complaints procedure.

14. Changes to this notice

We will update this notice when our services, processes or legal obligations change. Where appropriate, we will bring significant changes to your attention.

Fees, Commission & Our Lender Panel

Clear information before you commit

At Rainford Fleet Solutions Ltd, we believe you should understand how we are paid, which providers we work with and the costs associated with your vehicle agreement. This page explains our approach to upfront fees, commission and our lender panel.

Our role

Rainford Fleet Solutions Ltd acts as a vehicle funding broker, not a lender. We help businesses explore vehicle and funding options through our panel of lenders and our supplier relationships. Any finance or lease agreement is subject to the relevant provider’s approval, eligibility requirements and contractual terms. An enquiry, quotation or recommendation does not guarantee acceptance.

No upfront broker fees

We do not charge upfront broker fees. This does not mean that your vehicle agreement requires no initial payment. Depending on the arrangement, an initial rental, deposit or other payment may be payable under the relevant order, finance or supplier terms. These payments are separate from an upfront broker fee and should be clearly identified in your quotation and contractual documents.

As we do not charge upfront broker fees, there is no upfront broker fee to refund. The cancellation and refund treatment of any vehicle deposit, initial rental or other contractual payment is governed by the applicable terms and your legal rights.

How we earn commission

We earn commission from funders and suppliers in connection with the business we arrange. This remuneration supports the services we provide, including identifying suitable vehicles, comparing available funding options and assisting with the order process. Commission paid to us by a funder or supplier is distinct from a fee charged directly to you.

Why commission may vary

Commission may vary depending on the funder’s and/or supplier’s terms. Different providers may offer different remuneration arrangements, so the commission we receive will not necessarily be the same across the options available. You should not assume that commission has no effect on the pricing of an arrangement simply because it is paid by a third party. We will explain the relevant commission arrangements and any effect on your payments where applicable.

Our lender panel

We have access to a panel of lenders. Our search and the options we present are drawn from the providers available to us; we do not compare every lender or product in the market. The options available for a particular enquiry will depend on your business circumstances and provider eligibility criteria; the vehicle and funding method required; the proposed term, mileage and payment structure; current provider terms and vehicle availability.

Access to a panel does not guarantee approval or that we can obtain the lowest price available anywhere in the market. You can ask us about the scope of our panel and the providers considered for your requirements.

When commission is disclosed

Finance commission is clearly identified on your order form. We provide this information before you accept the order, giving you an opportunity to review it and ask questions before committing. Any further disclosures required for the particular arrangement will be provided before you enter into the relevant finance or lease agreement. Please read the commission information alongside your quotation, payment schedule and contractual terms.

Requesting further commission information

You do not have to wait until the order stage to ask how we are paid. You can request information about the nature and amount of commission associated with your proposed arrangement. If the exact amount is not yet known, we will explain this and provide the likely amount where available, confirming the relevant information before you commit.

For commission enquiries, contact: Email: adam@rainfordfleet.co.uk. Telephone: 07912 368995. Please include your name, business name and any quotation or order reference so that we can identify the arrangement you are asking about.

Understanding your total commitment

Before proceeding, review the full cost of your proposed arrangement—not just the monthly payment. Depending on the product, this may include an initial rental or deposit, regular payments, VAT, maintenance costs, a final payment and any applicable contractual charges. The absence of an upfront broker fee does not remove the payment obligations set out in your vehicle, finance or lease agreement.

Questions or concerns

If you have a question about our fees, commission or lender panel, please contact us before proceeding. We will explain the relevant arrangements in straightforward terms. If you are unhappy with our service, you can raise your concerns using the contact details above. Please refer to our Complaints Procedure for information about how we investigate and respond.

This page should be read alongside your quotation, order form and the applicable finance, lease or supplier terms. It does not replace those documents or restrict your legal rights.
